Open New request, fill in the four sections of the builder and choose Create request, which issues each person's link without sending anything.

A request is built on one screen. Only a team member whose role includes Create and send requests can open it. Your grievance contact must be set first. If it is missing, a box at the top of the builder asks an admin for the name and email, and other team members see a note that an admin must add it.

  1. 1 Open a new request. At the top, Collect documents is chosen. Choose Record consent only instead if you already hold the documents.
  2. 2 To reuse a saved layout, choose it in the Start from row. See starting from a template.
  3. 3 Under Who it goes to, add the people you are asking.
  4. 4 Under What to call it, enter a Title of 2 to 120 characters and a Purpose of 2 to 200 characters. Your client sees the title first. The purpose goes into the notice word for word.
  5. 5 Under What you need, choose the documents and answers you ask for.
  6. 6 Under Terms, set the retention rule and choose how long the link stays open.
  7. 7 To keep this layout for next time, tick Save as a template. The box shows only when your role includes Save and edit templates. See saving a template.
  8. 8 Choose Create request.

While you fill in the builder, the panel What the client sees shows the page your client will open. Below it, a panel lists what is still needed. Create request stays greyed out until the panel reads Ready to send.

Choosing Create request composes the notice, issues a private link for each person and opens the request page. Nothing has gone to your clients yet. Send each person their link from the request page. The request cannot be changed after this step, but you can add people to it while it is open.
