A client's folder shows every request you sent that person with the documents and answers that came back, the consent they gave under each, and the actions you can take on them.

Open Clients and choose a person to open their folder. A person appears on the list as soon as you add them to a request.

The summary

The top of the folder shows the person's name, email and phone. Under Held for this client it gives the number of documents held, across how many requests. Beside that it shows Written answers, Consents held and Next deletion. Next deletion is the earliest deletion date across all their requests. It reads Nothing queued when no item has a date yet, for example when the documents are kept as long as they are a client.

One card per request

Below the summary there is one card for each request the person was asked on, newest first. A card carries the request's title, a status pill, and the date the link was sent. It then gives either the date the link closes or the date it expired. Once the person has finished, it gives the day they finished instead. A request you closed reads closed.

PillWhat it means
2 of 3 received, and so onHow many of the items you asked for have arrived. A deleted item drops out of both numbers.
Nothing heldEvery item on the request has been deleted.
Consent recorded, No answer yet, DeclinedThe state of a request where you recorded notice and consent for documents you already hold.
Consent withdrawnThe person withdrew their consent.

Each document is a tile. Choosing the tile opens the document with its details. The arrow on the tile downloads it. A tile reads From DigiLocker when the person fetched the file from DigiLocker. Written answers show their text in place.

A document or answer that has been deleted stays on the card as a struck-through tile reading Deleted per retention/erasure, with the item's name and date. What stays after a deletion is the record, not the content. Download all on a card downloads that request's documents as one zip.

At the foot of each card, a strip shows the date the person consented and the retention they agreed to. It also carries two actions, both for admins by default. Renew consent asks the person to extend and appears 30 days before the date while no renewal is out. Withdraw consent records a withdrawal on the person's behalf. Choosing Consented on the strip opens the notice they agreed to, in the language they read it in.

What you can do from the folder

New request at the top starts a request with this person already filled in. Download everything downloads every document across all their requests and is greyed out when none are held.

The This person's rights card beside the cards holds the rest:

ActionWhat it doesHeld by default
Record a request from themPuts a request they made by phone or email on your Rights pageAdmins and members
Export their dataDownloads a copy of what you holdAdmins and members
Correct their detailsChanges their name, phone or emailAdmins and members
Relationship endedStarts the deletion dates for documents kept while they are a clientAdmins
Erase this personDeletes every document and answer held for them at once and keeps the record that they consentedAdmins

A role without the matching permission sees the action greyed out with Not in your role. An admin can change what a role may do.

An item the person has not sent is an empty tile reading Not sent yet, or Not sent once the link has ended. Before the person has sent anything, the top of the folder offers only New request. A person you have erased shows as Erased person. Their folder keeps the consents and the erasure on record, and Export their data is the one action left.
