Use this when a client asks you directly, by phone, by email or in person, instead of through their rights link.
- 1 Open the person's folder and find the This person's rights card.
- 2 Choose Record a request from them.
- 3 Under About the request, pick the request the person is asking about.
- 4 Under They asked for, choose A copy, A correction or Deletion.
- 5 Under Asked on, enter the day they asked. It starts as today and cannot be later than today.
- 6 For a copy or a correction you have already dealt with, tick Already done.
- 7 Choose Record it. When Already done is ticked, the button reads Record as done.
The request appears on your Rights page with its answer-by date, 90 days after the day you entered under Asked on. The law gives you 90 days to answer (DPDP Rules, Rule 14), and our guide explains what each right asks of you. The entry is written to your audit trail as received on that day, against your name.
Ticking Already done closes the request at once, dated today. A deletion has no Already done box. You answer a deletion on the Rights page, where you erase, keep under law or decline it.
A correction you record does not change the person's details. You make the change with Correct their details, as correcting a client's details describes.
Nothing is sent to the person. If they open their rights link, the request is listed there with the day they asked, the date you must answer by and, later, what you did.
- The request must have a consent that is still in force. Otherwise the row reads Needs a consent that is still in force and cannot be opened.
- Only one request of each kind can be open under one consent. A second copy request on the same consent is refused with That request is already open under Rights.
- Recording needs a role that can answer rights requests. Admins and members hold it by default.
For example
Anita Deshpande phones Amaltas Deshmukh & Co on 1 July 2027 and asks for a copy of what Amaltas Deshmukh & Co holds on her. The same day, an admin opens her folder and chooses A copy, leaves Asked on at 1 July 2027 and chooses Record it. The request goes on the Rights page with an answer-by date of 29 September 2027, which is 90 days after 1 July 2027.
