Choose Erase now to delete what your client sent on that request, Keep under law if the request named a law, or Decline with a reason.

A deletion request is not a withdrawal. Your client's consent stays in force until they withdraw it. A deletion row on the Rights page offers these answers:

  • Erase now deletes the documents and written answers your client sent on that request, at once, whatever the retention rule says. The key is destroyed and the file is removed. Confirm with Yes, erase. If the request named a law, the confirmation says that erasing now overrides it. What stays is the record of the deletion, and your client's name, phone and email stay on their record. To delete everything across all their requests, and their contact details too, erase the client from their folder. This answer needs the Withdraw consent, end a relationship, erase a person switch, which admins have by default. A role without it sees the button greyed out with "Not in your role" and can still use the other answers.
  • Keep under law appears only when the request named a law and a period, as the second stage of the retention rule. Confirm with Yes, start the clock. The law's period starts today, and the documents are deleted when it ends. Anything already inside the law's period keeps its own date. An open renewal ends.
  • Decline records your reason. Nothing changes about when the documents are deleted. See declining a client's request.

If you hold the documents yourself, because the request only records consent, we hold nothing to delete. Confirm done replaces Erase now. You delete the documents from your own records, choose Confirm done, then Yes, I have deleted them. We record your confirmation. We cannot check that the documents are gone.

Whichever you choose, the answer is recorded on your audit trail against your name, and the row moves to the Register tab. What your client then sees is described in what your client sees after you answer.

For example

Amaltas Deshmukh & Co sends Anita Deshpande a request on 1 July 2027 that names a law requiring 5 years. Anita asks for deletion on 1 September 2027. An admin chooses Keep under law on 8 September 2027. Her documents are now deleted on 8 September 2032, and her rights link shows Declined with the law and that date. Choosing Erase now instead would delete her documents on 8 September 2027.
