Choose Renew on your client's row in the Retention queue, enter the further period in days, and send your client the private link that appears under the row.

You can renew from the Retention queue while the client's row is open and has no renewal yet. Your role needs the Decide retention cases and renewals switch. Your grievance contact must be set in Settings, because the renewal notice carries it. A request with a law period has no row, so it cannot be renewed.

  1. 1 Open Retention and choose Renew on the row.
  2. 2 Under Further period, in days, enter the period. It starts at the days of the request's own retention period. It can be 1 to 3650 days.
  3. 3 Check the date the form shows. It reads "kept until" followed by the new date if your client agrees.
  4. 4 Choose Create the renewal.
  5. 5 Under the row, hand over your client's private link with Copy link, Send on WhatsApp or Send by email. You can also choose Send by Confidential Dispatch when your client has an email address on file.

A renewal covers every document and answer your client still has on that request. We prepare a fresh notice with the new date. Your client chooses item by item what you may keep. Anything they do not choose is deleted on the date originally promised.

The new period is counted from the date on the row, not from the day your client agrees. The link is valid until that date. The row reads renewal not sent until the link is handed over, then awaiting response. If nobody hands it over, we remind you. If your client declines or does not answer, the documents are deleted on their original date.

With Prepare the renewal for you to send, the setting every account starts with, we create the renewal when the row opens. You then start at step 5. You can change that setting or offer one from the client's folder.

For example

A row for Farhan Qureshi opens 15 days before his documents are due on 30 June 2028. Amaltas Deshmukh & Co renews with a further period of 365 days. Farhan agrees on 20 June 2028. His documents are now kept until 30 June 2029, which is 365 days after 30 June 2028 and not after 20 June 2028.
