A renewal you created is still waiting in the Retention queue because nobody has handed your client the link, so we remind you ten days and five days before the deletion date.

A renewal reads renewal not sent in the Retention queue until its link is handed over. Choosing Copy link, Send on WhatsApp, Send by email or Send by Confidential Dispatch counts as handing it over. The row then reads awaiting response.

If the renewal is still unsent, we remind you 10 days before the deletion date and again 5 days before. Each reminder goes once for each renewal. A reminder is skipped when the renewal did not exist yet at that point. A renewal created 7 days before the date gets only the second reminder. One created 3 days before gets none.

The reminder goes by email and in the app to everyone whose role can decide retention. The email names the request and the date. It never names your client.

If the date arrives with the link unsent, the link stops working and the documents are deleted. You can keep them on a basis of your own or delete them from the row instead.

With the setting Prepare the renewal for you to send, every renewal waits unsent until you hand it over. The renewal settings explain the other choices.

For example

Amaltas Deshmukh & Co has documents for Farhan Qureshi due on 30 June 2028. The ten-day point is 20 June 2028 and the five-day point is 25 June 2028. It creates his renewal on 23 June 2028, after the first point. Only the second reminder is sent, in the first daily run after 25 June 2028.
