The Consent renewals card in Settings chooses whether we do nothing, prepare each renewal for you to send, or prepare it and email your client, and only an admin can change it.

Open Settings and find the Consent renewals card. Choose one of three settings. The change saves at once and is recorded in your audit trail. Other roles can see the setting but not change it.

SettingWhat we do
Nothing automaticYou start each renewal yourself, from the Retention queue or the client's folder.
Prepare the renewal for you to sendWhen a row opens, we create the renewal and put your client's link in the queue. You send it.
Prepare it and email the personWe create the renewal and email the link, carrying your firm's name, when we hold an email address for your client. We remind them up to three times. A client without an email address is not contacted, and the link waits in the queue for you.

Prepare the renewal for you to send is the setting every account starts with.

We create renewals in the daily run, for every open row that has none yet. If you switch a setting on later, it also applies to rows that are already open. When we create a renewal, we tell everyone whose role can decide retention in the app. We do not email them about it.

A renewal needs your grievance contact in Settings. Without it we cannot create the renewal, and we try again the next day.

Whichever setting you choose, you can still keep or delete on the row instead. A renewal that nobody has sent is flagged to you before the date. The setting does not change what you can do from a client's folder.
