Yes, choose Keep on your client's row in the Retention queue, state a basis and a review date, and the documents stay until that date.
You can keep from the Retention queue while the client's row is open. Your role needs the Decide retention cases and renewals switch. A row that is only waiting for you to confirm a withdrawal offers no Keep.
2Choose the basis. It is either A law requires it or They are still a client.
3For a law, enter the provision under The provision and the date the law sets under Keep until. The provision takes 3 to 300 characters.
4For a client who stays, add a note under Note (optional). The date under Review on starts at 12 months from today and you can change it.
5Choose Keep.
The review date must be in the future and no later than 10 years from today.
Keep moves the deletion date of every document and answer your client has on that request to the review date. The row closes as kept. It appears in the Outcomes · 90 days tab with your basis and the review date. A new row opens 15 days before the review date, so the decision is asked again.
Your audit trail records the basis, the provision and the review date against your name. If a renewal was out, keeping ends it and your client's link stops working. A Keep under A law requires it still holds the documents to that date if your client withdraws consent. A Keep with They are still a client does not hold them against a withdrawal.
For example
A row for Farhan Qureshi opens 15 days before his documents are due on 30 June 2028. On 20 June 2028, Amaltas Deshmukh & Co chooses Keep with They are still a client. The review date starts at 20 June 2029, 12 months from that day. Farhan's documents are kept until 20 June 2029. A new row opens 15 days before that date.
