If a law applies, a withdrawal deletes nothing at once, and the documents are deleted when the law's period ends, counted from the day of the withdrawal, or on the date you entered when you kept them under a law in the Retention queue.

This applies to a request where you ticked We must keep them beyond this period under law and entered the law and its period, as the second stage of the retention rule. It also applies to documents you kept under a law from the Retention queue, as explained below. A request with neither is covered by what happens when a client withdraws.

When your client withdraws, we do four things:

  1. 1 We record the withdrawal with the law and the date the documents are kept until.
  2. 2 We start the law's period on the day of the withdrawal. It does not wait for the first period to end.
  3. 3 We leave every document and answer in place. Anything already inside the law's period keeps its own date.
  4. 4 We delete them on the date the law's period ends.

For documents we hold, no row opens in your Retention queue and no renewal is offered. If the request only recorded consent for documents you hold yourself, we delete nothing. A row opens 15 days before the law's period ends and asks you to confirm you have deleted them. A renewal that was open ends. A deletion request from the client under that consent is closed as kept.

Your client sees this before they confirm. The page names the law and the period. After they confirm, it shows Kept by law until with the date. In the client's folder the consent shows as withdrawn and kept by law until that date. The Register tab of the Rights page shows the same.

A Keep under a law in the Retention queue also holds documents against a withdrawal. That is a Keep with A law requires it, as in keeping documents on your own basis. It holds while the date you entered under Keep until has not passed. The withdrawal is recorded with the provision you entered. The documents stay until that date and are deleted then. The withdrawal does not start a new period. A Keep with They are still a client does not hold documents against a withdrawal.

For example

Amaltas Deshmukh & Co sends Farhan Qureshi a request on 1 July 2027 with a two-year retention period and a law that requires 5 more years. He uploads his documents the same day. Without a withdrawal his documents are deleted on 30 June 2034, which is 30 June 2029 plus 5 years. He withdraws on 1 September 2027. The law's 5 years now count from that day, so his documents are deleted on 1 September 2032.
