Open the client's folder, choose Erase this person and confirm, and every document and answer they sent on any request is deleted at once, with only the record of the erasure kept.

Erasing removes a client from your account. Use it when a client asks you to delete everything, or for one of two duplicate records. To delete the items of one request only, answer a deletion request with Erase now, or use Delete now on its row in the Retention queue.

  1. 1 Open Clients and choose the client to open their folder.
  2. 2 In the This person's rights card, choose Erase this person. The row shows how many files, answers and consents are held.
  3. 3 A box shows the same counts and says that everything is deleted now, not on the dates you promised.
  4. 4 Choose Yes, erase everything. Keep it all closes the box and changes nothing.

What happens:

  • ✓Every document and written answer the client sent, on every request, is deleted at once.
  • ✓The client's name, phone and email are removed. Their folder then reads Erased person.
  • ✓For documents you hold yourself under a Record consent only request, we hold nothing to delete. Erasing records that you have deleted them from your own records.
  • ✓Any upload link still open for the client stops working. Their page says the link is no longer active. No new link can be issued for an erased person.
  • ✓Any open request from the client on the Rights page closes. A deletion request is answered as erased. A copy or correction request is declined with the reason "Your data was erased on" and the date, which the client sees on their rights page.
  • ✓The erasure is recorded in your audit trail against your name. That entry is never deleted. What stays is the record of each consent, each document's fingerprint and the dates.
  • ✗Erasing cannot be undone. The client would have to send everything again on a new request.
  • ✗An erased person cannot be corrected or erased again.

Erasing also deletes documents kept under a law you named on a request. The law's period does not hold them, as it would after a withdrawal. Check what you must keep before you erase.

You need the Withdraw consent, end a relationship, erase a person switch on your role. Admins hold it by default. Without it, the row reads Not in your role.
