In the client's folder choose Export their data for the record of what you hold, choose Download everything for the documents, and hand both to your client yourself.

  1. 1 Open the person's folder.
  2. 2 In the This person's rights card, choose Export their data. A JSON file is saved, named for the person and today's date.
  3. 3 At the top of the folder, choose Download everything. A zip of every document you hold for them is saved.

Together the two files cover the person's details, consents, answers and documents. We do not send either file to your client, so you hand them over yourself.

What the export holds

The JSON file holds the person's name, phone and email, and each consent they gave with the purpose, the date and the notice version they saw. For each request it holds the date they submitted, their written answers and the name, size and fingerprint of each document. It does not hold the documents themselves. They come from the zip. The file ends with a fingerprint of the export.

A document that has been deleted is listed as erased.

What is recorded

Choosing Export their data writes an entry to your audit trail with the export's SHA-256 fingerprint. Choosing Download everything records the download of those documents.

Who can do it

Export their data needs a role that holds the export permission. Admins and members hold it by default. Download everything needs the permission to see documents, and it is greyed out when no document is held. Without the export permission, the Export their data row is greyed out with Not in your role.

If the client asked for the copy through their rights link, answer their request on the Rights page once you have handed it over.
