You can email your client their link yourself, or we can do it. When we do, the email comes from your firm's name via Confidential Dispatch, and replies go to your grievance contact email.
- 1 Open the request and find your client under Not sent.
- 2 Choose the paper-plane icon. Its label is Send by Confidential Dispatch.
- 3 Choose Send now and remind them or Send once.
- 4 Choose Yes, send it. By confirming, you instruct us to email that person on your behalf.
Send now and remind them sends one email now. We then remind your client until they upload or the link ends, up to 3 reminders. Send once sends one email and no reminders.
The email names the purpose you gave for the request. It lists each item marked as required or if applicable. It states how long you keep what is collected. It carries your client's private link and the date the link is valid till. At the bottom it carries a link your client can use to stop our emails.
Some details decide whether the icon works:
- ✓You can email a person whose link you already sent yourself.
- ✓The first email we send is not counted. Every later email we send that person for this request counts as one of the 3 reminders.
- ✓If we are over our sending limits, the email waits in a queue and goes out within a few minutes.
- ✗Without an email address on file, we cannot send. The icon is greyed out.
- ✗Once the link has ended, we do not send.
- ✗Once 3 reminders have been sent, we send that person nothing more for this request.
- ✗If your client has stopped our emails, we do not send. You are told to share the link another way.
- ✗Without the Create and send requests switch on your role, the icon is greyed out.
We record the first email in your audit trail as Link emailed by us. Each later one is recorded as Reminder emailed by us. After Send once the row reads Sent by us with the date. With reminders on, it shows that we are reminding, with the date of the next reminder. If you had already sent the link yourself, it keeps reading Sent with the date you sent it.
