Who is reminded depends on how the link was sent.
| How the link was sent | Who is reminded |
|---|
| Send now and remind them | We email your client. |
| Send once | We nudge you. |
| You copied the link or used WhatsApp or email from your own app | We nudge you. |
| Nobody has sent the link yet | We nudge you. |
A nudge is an email to you titled "A recipient may need a reminder", with an entry in Notifications. You then send the reminder yourself, as in sending the upload link.
The schedule is the same for both. Two reminders are fixed, one 7 days before the link ends and one 2 days before it ends. A third can fall halfway between the last message and the end of the link. It is dropped when it would land within 2 days of a fixed one. No reminder falls due within 2 days of an earlier message, or in the first 2 days of a link. An earlier message is the first email, a reminder, or any time you used Copy link, WhatsApp or email yourself.
A reminder that falls due goes out at the next daily run. We run once a day, early in the morning India time.
We send at most 3 emails after the first one to each person for a request. A Send once you make later counts as one of them. We nudge you on our own at most 3 times for each person. A reminder never extends the link or changes it.
Each reminder email has the subject "Reminder: documents still needed" with the purpose of the request and your firm's name. It lists the items still outstanding and carries the same link and the date it ends. It also carries a link your client can use to stop our emails.
Reminders to your client stop when:
For example
Amaltas Deshmukh & Co creates a request for Farhan Qureshi on 1 July 2027 with a 14-day link, so the link ends on 15 July 2027. It chooses Send now and remind them. His first reminder falls due on 8 July 2027, which is 7 days before the link ends. No reminder falls due later than 13 July 2027, which is 2 days before it ends.
