It is one email each morning at 08:00 IST that lists the records from your account since your last summary, and it is sent only on a day when something happened.

We send the summary to each active person who has records waiting. A day with no records sends no email. The app has no setting to turn it off.

A record goes to the person who created the request. When that colleague is disabled, it goes to every admin. A record about a rights request received or coming due, a retention decision, a withdrawal or a breach goes to everyone whose role can act on it. A colleague who has been disabled gets nothing.

The summary groups the records in this order:

  • Rights requests received, coming due and answered
  • Breach incidents with a letter still to send
  • Consents withdrawn by a person
  • Consents recorded or declined for documents you hold yourself
  • Consent renewals accepted or declined
  • Submissions deleted on schedule
  • Submissions received with items still pending
  • Documents replaced
  • Links that expired with items outstanding

Each record is one line. The line names the request title and never the client. Sign in to see who each record concerns. A group shows up to 20 lines and then says how many more there are.

Anyone whose role decides retention cases also gets a standing line on a day the summary is sent and decisions are waiting. It says how many decisions are waiting in the Retention queue and when the soonest deletion falls.

Some things are emailed to you at once and do not wait for the summary. They are all documents received, a request your client finished without every item, a reminder that is yours to send, a deletion coming up and a consent renewal that has not been sent. Records emailed at once do not repeat in the summary. The email list shows every email we send.
