A client's documents on one of your requests reach the end of their retention period in 15 days, so a row has opened in your Retention queue and you are told by email and in the app.

We open one row in your Retention queue for each person and request. The row opens when the earliest document or answer on it is 15 days from its deletion date.

On the day the row opens, we notify everyone whose role can decide retention cases. That includes every admin. The notice is an email and an entry in the app. We send it once for each row.

The email names the request and the date. It never names your client. You sign in to see who it concerns.

Nothing has been deleted when you receive it. The row offers three actions:

If nobody acts, or your client declines the renewal or does not answer, the items are deleted on their date.

If you offered a renewal from the client's folder first, the row is already open and we send no notice. Two kinds of request never open a row. One carries a law period. The other is kept for as long as they're a client. A request that only records consent for documents you hold still opens one when it carries a law period, 15 days before the law's period ends. Kept while they are a client, it opens one when you mark the relationship as ended.
