The earlier file is deleted at once, the new one takes its place under the same item, and you are told in your daily summary.

Your client can replace a document only before they finish, while their link is still open. They choose Replace beside an item that is already received, read a warning, and choose Choose replacement. The warning tells them that you may already have viewed or downloaded the earlier file. It also tells them that sending a replacement deletes the previous version immediately and cannot be undone.

What happens next:

  • ✓The earlier file is deleted at once, and its encryption key is destroyed with it.
  • ✓The new file takes its place under the same item, and the item still counts as received.
  • ✓The new file keeps the deletion date the item already had. The date is not counted again from the day of the replacement.
  • ✓The replacement is recorded in your audit trail as Document replaced.
  • ✓You are told in Notifications and in your daily summary.
  • ✗You are not sent an email at once.
  • ✗A copy you already downloaded is not affected.
  • ✗Only documents can be replaced. A written answer cannot be changed after it is sent.
  • ✗Once your client has finished, their link no longer works, so they cannot replace anything.
For example

Amaltas Deshmukh & Co asks Farhan Qureshi for two documents on 1 July 2027 with a two-year retention period. He sends the first on 1 July 2027 and replaces it on 5 July 2027. The earlier file is deleted on 5 July 2027. The new file is deleted on 30 June 2029, the date the item already had, and not two years after the replacement.
