An admin holds every switch and a few powers no other role can have, and every other role holds only the switches an admin has turned on for it.

Every person at your firm holds one role. A role is a set of switches that an admin has turned on or off. A new firm starts with two roles, Admin and Member.

Admin holds every switch. It also holds the powers below, which are not switches and which no other role can have.

  • Changing your firm's settings: the Contact & display, Firm logo and Consent renewals cards in Settings.
  • Managing the team: inviting colleagues, changing roles, adding and editing roles, disabling people and resetting a colleague's two-factor.
  • Downloading the client list.
  • Downloading the audit trail as a file.
  • Downloading anything from the Export your data card, the evidence included.

Admin cannot be edited, renamed or removed. The Roles card on Team shows it as Everything, fixed. A firm always keeps at least one admin.

Member is the role an invitation offers first. It starts with six switches on:

  • See requests, clients and documents
  • Create and send requests
  • Save and edit templates
  • Export one person’s data
  • Correct a person’s details
  • Answer rights requests

Six switches start off for Member: See the retention queue, Decide retention cases and renewals, Withdraw consent, end a relationship, erase a person, See the audit trail, Record and handle breach incidents and Plan & billing. An admin can turn any of them on. An admin can also change what Member holds or add roles. Member can be renamed but never removed.

Only an admin can change a role. A colleague who is not an admin can read the Roles card but not edit it. What a role lacks shows up as Not in your role. To give a person a different role, change their role.
