Tick Not known yet on question 6, 7 or 8 and record the breach now, because the Board letter then says the matter is under investigation until you add the answer.

Only questions 6, 7 and 8 can wait. They are How it happened, What you found and What changes so it does not happen again. Beside each one is a Not known yet tick. With a tick on, the Board letter says that the matter is under investigation and that you will update the Board as soon as it is known. The letter to the people affected does not carry these three answers, so the tick changes nothing in it.

Questions 1 to 4 need an answer before the form saves. They are What happened, What this could mean for them, What you are doing about it and What they can do. Write what you know now. Question 5, Who they can contact, can stay blank if your grievance contact is set, because the letters use it instead. If you cannot tell whose data was touched, choose All clients under Who was affected.

When you learn more:

  1. 1 Open the incident from the Breach register and choose Change on step 01.
  2. 2 Untick Not known yet, enter the answer and choose Save the record. Both letters on the page update to the new answers.
  3. 3 If you had already recorded the Board letter as sent, send the Board the new report yourself. Then choose I have sent an update on the Board card. Each recorded send is kept, and the earlier one stays as it was.

What you can change depends on where the incident stands:

  • ✓Before you record the people's letter as sent, you can change every answer and the details at the top.
  • ✓After you record the people's letter as sent, you can still change questions 6 to 8.
  • ✗After that, the name, When you became aware of it, Who was affected and questions 1 to 5 no longer change.
  • ✗Once you close the incident, nothing on it changes.

Changing When you became aware of it moves the Board deadline. Your audit trail records that the date was changed. An edit cannot leave a required answer blank, and the form tells you which one is empty.
